Enterprise Resource Planning (ERP) systems have become an integral part of modern business operations, enabling organizations to streamline processes, improve efficiency, and foster better decision-making. ERP Selection Roadmap

  1. Gather Information – Interview your organization’s leaders and champions in all areas of the business.  All areas.  Represent your findings in a graphically format.
  2. Understand Flow – Outline how various business processes flow through your organization.  Spend the most time here.  You want to understand all processes and be clear about all requirements.
  3. Define Requirements – Develop and rank the requirements gathered from step 2 for each of your business areas and the processes they own.
  4. Market Research – Use the processes from the previous and requirements from the previous steps to research the ERP marketplace and determine an initial list of solutions.
  5. Request Information – Develop and publish your Request for Information (RFI), then evaluate the responses.  Review these responses with leadership and the department leaders.
  6. Pruning – Narrow the list of options down to solutions that best fit your requirements and address most, if not all, of your processes.
  7. Solution Demos – Schedule on-site demos, evaluate participants, and further narrow your options.
  8. Request Proposals – Request and evaluate proposals from the top software vendors on your list.  Even though price is important, do not let it be your sole decision factor.
  9. References & Visits – Check references from your proposal requests and conduct on-site visits.  See how the company functions, get a feel for their culture it possible.
  10. Selection – Select the final solution and negotiate the terms of your agreement.

The diagram below gives a visual depiction of the 10 Steps.  Don not be tempted to skip any due diligence is important to having the best solution in play, not a solution that someone used at their previous job.  Put in the work and pay dividends later.

Types of ERP Systems

ERP systems come in various forms to suit the needs of different organizations:

  • On-Premises ERP: Installed and hosted on an organization’s own servers, offering greater control but requiring significant upfront investment and usually teams of support personnel.
  • Cloud-Based ERP: Hosted on remote servers and accessed via the internet, providing scalability, flexibility, and lower initial costs.
  • Hybrid ERP: Combines on-premises and cloud-based solutions, allowing businesses to balance control with flexibility.

Core Modules of an ERP System

An ERP system typically consists of various modules, each designed to address specific business functions.  These business functions will have various business processes that support the business function and module.  For example, the Accounting module would most likely have an Accounts Payable process and Accounts Receivable process (to name a few) along with supporting tables such as a Customer table, a Tax table, etc.  After which the module would also have a way to capture and present that data through tables, reports, and dashboards. Common modules include:

  • Finance and Accounting: Tracks financial transactions, generates financial statements, and handles budgeting and forecasting.
  • Human Resources: Manages employee records, payroll, benefits, and recruitment.
  • Customer Relationship Management: Focuses on sales channels, marketing, and customer service activities.
  • Procurement: Acquisition of goods and services, purchase orders, and pricing.
  • Manufacturing: Facilitates production planning, scheduling, and quality control.
  • Order Management: Handles customer quotes, orders and fulfillment.
  • Inventory Management: Tracks stock levels, manages warehousing, and monitors order fulfillment.
  • Warehouse: Storage and management of goods.
  • Supply Chain Management: Procurement, inventory, and logistics.

Some examples of outlier modules, modules that typically might not come with the core model set but may have benefit to your particular business might be:

  • Ecommerce: Online buying and selling of product and services.
  • Project Management: Helps plan, execute, and monitor projects within the organization.
  • Business Intelligence: Provides analytics, dashboards, and reporting tools for data-driven decision-making.

Typical ERP Module Detail

The section above gives a very simplistic overview of the module sets that might come with a small scale ERP system.  This section dive a little deeper. 

This first list represents a typical set of Modules and details.  As you evaluate your needs focus on the modules that are key to your business and workflows then evaluate the details within each module.  How close are they to your current workflows, does it have any glaring gaps, are all of your business needs satisfied.  These are the typical questions that need to be asked.

Of course more complex systems will required a more in-depth review.  This highlights the importance of the size of the package as a whole.  How much of the business do you want to try and cover with a single system of record.  The diagram below goes even further.

ERP Module Descriptions

The list below is still not comprehensive but does describe enough modules and enough details to give a clear understanding of what a typical ERP system might entail.  As you are working through each step of the 10 Step Selection Process listed above, ensure that you and your team understand each module that is possible and how that supplier delivers that module.  Understand the requirements you gathered in great detail and ensure an understanding of how those requirements will be addressed.

  • Finance and Accounting – This module is what most people familiar with ERP systems will say and ERP is for.  All the input ultimately feeds the Finance and Account module.  This module is a standard module in many ERP systems.  The whole inflow & outflow of money/capital is managed by the finance module. This module keeps track of all account-related transactions like expenditures, balance sheets, account ledgers, budgeting, bank statements, payment receipts, tax management, etc. Financial reporting is an easy task for this module of an ERP.  Any Financial data that is required for running the business is available with one click in the Finance module.  This module allows manufacturers to understand the current financial state and future outlook of the organization. The major features in this module include general ledger, accounts payable, accounts receivable, and taxation.  The Finance and Accounting module in ERP automates billing tasks, account reconciliation, vendor payments, and more. Financial planning and analysis data help to prepare key reports such as Profit and Loss statements.
  • Human Resources Management – Also known as Human Capital Management (HCM), this module manages employee data, including performance reviews, benefits, and time off. It can automate tasks like scheduling, recruitment, and compensation.  The human Resource module helps the HR team with efficient management of human resources. HR module helps to manage employee information, track employee records like performance reviews, designations, job descriptions, skill matrix, time & attendance tracking. One of the important submodules in the HR module is Payroll System which helps to manage salaries, payment reports, commissions, etc. It can also include Travel Expenses & Reimbursement tracking. Employee Training tracking can also be managed by the ERP.  This module promotes an approach for managing, recruiting, and developing human resources (employees). The Human Capital Management software module is the repository for employee data. It helps Human Resource departments with the onboarding process and ensures education about the organization is shared with all employees.  From payroll to taxes, time-off requests, agreements, etc., are all usually available in the ERP. Functions of the Human Capital Management module include talent management, workforce management, compliance management, and maintenance of employee data.
  • Procurement or Purchasing – This module helps businesses purchase products and materials for production or sale and is sometimes part of a Supply Chain module. It can automate quotes, purchase orders, and supplier payments.  As the name indicates, Purchase modules take care of all the processes that are part of the procurement of items or raw materials that are required for the organization.  The purchase module consists of functionalities like supplier/vendor listing, supplier & item linking, sending quotation requests to vendors, receiving & recording quotations, analysis of quotations, preparing purchase orders, tracking the purchase items, preparing GRNs(Good Receipt Notes) & updating stocks & various reports. Purchase module is integrated with Inventory module  Engineering / production module for updating of stock items.  Also known as Purchasing, this module helps an organization manage and safeguard goods required to manufacture or sell products. The Procurement ERP software module helps you automate, track, and analyze quotes. Once a quote is accepted, this module helps the purchasing department prepare and send a purchase order. As a manufacturer, you can keep a list of approved vendors and associate specific supply items with each vendor.
  • Manufacturing Process – The first version of ERP was designed for manufacturers. MRP or Material Requirement Planning was the earliest version of ERP that helped businesses estimate quantities of raw materials to schedule on-time deliveries.  Modern ERP for manufacturers offers functionality such as Material Requirement Planning (MRP), Advanced Planning and Scheduling (APS), and Manufacturing Execution System (MES).  Material Requirement Planning synchronizes the flow of materials that are aligned with the production schedule. It focuses on customer retention, cost reduction, and productivity through one view of all demand-driven activities.  Advanced Planning and Scheduling helps manufacturers map every single resource required to fulfill the order and deliver it on time. It automates the process of converting planning into production orders. It also adjusts schedules in real-time and forecasts the downstream impact in operations.  The Manufacturing Execution System tracks, collects and monitors accurate data about the production cycle. It promotes data collection, product tracking, and management of quality control and resources.  The manufacturing module is usually one of the largest module in a ERP system with common features such as:
Production ManagementPlanning, scheduling, execution, and monitoring of manufacturing processes to ensure efficient production workflows.
Quality ManagementEnsures that products and processes meet predefined standards, regulatory requirements, and customer expectations by integrating quality control, compliance tracking, and process monitoring.
Shop Floor ExecutionManages and monitors real-time production activities on the factory floor. It provides visibility, control, and automation over manufacturing processes, ensuring efficient resource utilization and timely order fulfillment.
Bill of Materials (BOM) and RoutingsDefine how products are manufactured and routed through work centers and machines.
Enhanced Inventory ManagementEnsures real-time tracking, accuracy, and optimization of stock levels across the supply chain.

  • Order Management – Order Management provides a single platform to manage orders from all sales channels, from receipt to delivery. It tracks their status as they are shipped to customers. This ensures on-time delivery of orders and that no orders are lost.  Order Management provides a single platform for increased efficiency, better customer experience, and management of all sales channels. From tracking orders to managing people and data connected to the orders, the Order Management module delivers visibility and service availability.
  • Inventory Management – An inventory module can be used to track the stock of items. Items can be identified by unique serial numbers. Using that unique numbers inventory system can keep track of items and trace their current location in the organization.  e.g. you have purchased 100 hard disks, so using the inventory system you can track how many hard disks are installed, where they are installed, how many hard disks are remaining, etc.  The inventory module includes functionalities like inventory control, master units, stock utilization reporting, etc.  There may be an integration of the inventory module with the purchase module of ERP.  Inventory Management allows manufacturers to gain real-time inventory information and manage all aspects of the business on one platform. This includes finance, planning, logistics, and operations.  The Inventory Management ERP module provides just-in-time (JIT) inventory, real-time goods receipts, and inventory levels, valuation of inbound and outbound inventory, ABC item analysis, inventory audits, accurate forecasting, direct drop shipment, and more.
  • Warehouse Management – This module manages how businesses store, handle, and retrieve stocks, raw materials, and work in progress.  Warehouse Management software manages high-volume warehouse operations and guides employees throughout the operation, from put away to picking, packing, and shipping. It is a crucial module for manufacturing organizations.  Warehouse Management reduces cycle times and overhead costs while increasing inventory turns. It lets you automatically coordinate and record the movement of inventory. When this module is integrated into an ERP solution, employees can easily locate the right products to ensure timely delivery to customers.
  • Supply chain management – SCM module manages the flow of product items from manufacturer to consumer and consumer to manufacturer.  Common roles involved are a manufacturer, super stockiest, stockiest, distributors, retailers, etc. SCM involves demand & supply management, sales returns & replacing process, shipping & transportation tracking, etc.  Supply Chain Management tracks every step in the supply chain process. It ensures the availability of the right inventory, in the right place, and at the right time. This module also manages refunded products or replacement orders.
  • Customer relationship management (CRM) – This module manages customer interactions throughout their lifecycle.  CRM department is helping to boost the sales performance through better customer service and establishing a healthy relationship with customers. All the stored details of the customer are available in the CRM module.  CRM module helps to manage & track detailed information of the customer like communication history, calls, meetings, details of purchases made by the customer, contract duration, etc. CRM modules can be integrated with the Sales module to enhance sales opportunities.  Customer Relationship Management (CRM) helps manufacturers manage the customer lifecycle, from initial contact to sales, production, and post-sale maintenance and support services. You can find information about customers and prospects, their communication history, and purchase history.  ERP CRM helps you create and manage service and warranty agreements efficiently and provide faster response to service calls. It enables you to automate operations such as generating accounts receivables, sending notifications, filling out purchase orders, and more. 
  • Ecommerce – An E-commerce module integrated with ERP software provides a feature-rich E-commerce platform for B2B and B2C manufacturers. It ensures a shared database of payment, order, and inventory information.  The E-commerce module ensures automation, real-time information, data consistency, and eliminates data redundancy. It saves time and eliminates the possibility of manual data entry errors. 
  • Engineering and Production – The production module is a great help for the manufacturing industry in delivering the product.  This module consists of functionalities like production planning, machine scheduling, raw material usage,(Bill of material)preparation, track daily production progress production forecasting & actual production reporting.
  • Project Management – This module manages project lifecycles, including task and resource allocation, budgeting, and cost management.  This module helps organizations plan, execute, monitor, and complete projects efficiently by integrating project-related activities with core business processes. It provides tools for task scheduling, resource allocation, budgeting, and cost tracking, ensuring projects stay on time and within budget. With real-time collaboration, document management, and progress tracking, teams can streamline workflows and improve productivity. Additionally, ERP project management modules enable risk assessment, milestone tracking, and financial forecasting, allowing businesses to make data-driven decisions. By centralizing project data and automating administrative tasks, organizations can enhance visibility, optimize resource utilization, and improve overall project outcomes.
  • Sales – This module manages sales transactions, including sales queries, quotation drafting, sales invoices, and shipment tracking.  Typical sales process includes processes like Sales queries & inquiry analysis & handling, quotation drafting, accepting sales orders, drafting sales invoices with proper taxation, dispatch/shipment of material or service, tracking pending sales orders. All these sales transactions are managed by the sales module of ERP.  CRM modules can take the help of the Sales module for future opportunity creation & lead generation. 
  • Marketing – This module manages marketing campaigns across digital channels like email, web, social media, and SMS.  Like with ecommerce, certain software providers have developed a marketing automation module. A marketing module manages marketing campaigns across digital channels. It can automate email sends based on campaign rules and has advanced customer segmentation features, so customers only receive relevant messages.  Marketing automation software, whether part of the ERP system or a separate solution, can provide detailed reports on the performance of campaigns to shape future marketing plans and spend. These applications increase leads, customer loyalty and, over time, sales.
  • Risk Management – Risk management in ERP systems plays a critical role in identifying, assessing, and mitigating potential threats that could impact business operations. By centralizing data and automating workflows, ERP solutions help organizations enhance compliance, monitor financial risks, and detect security vulnerabilities in real time. Features such as audit trails, access controls, and predictive analytics allow businesses to proactively address risks related to fraud, supply chain disruptions, regulatory compliance, and data breaches.   • Professional Services – A professional services automation (PSA) module, also called a service resource management module, allows an organization to plan and manage projects. Services-based businesses often use this module. The application tracks the status of projects, managing human and capital resources throughout, and allows managers to approve expenses and timesheets. It facilitates collaboration between teams by keeping all related documents in a shared place. Additionally, the PSA module can automatically prepare and send bills to clients based on rules around the billing cycle.
  • Workforce Management – A workforce management module is similar to a human resource management module but is designed for companies with more hourly than salaried employees. It can monitor workers’ attendance and hours and measure things like employee productivity and absenteeism.  Payroll could also fall under the workforce management module. A payroll sub-module automatically distributes paychecks to employees on a set schedule with the appropriate taxes deducted and handles expense reimbursement. It can also provide reports on payroll expenses, total overtime hours and similar KPIs.
  • MES Functionality – The Manufacturing Execution System (MES) module in an ERP system bridges the gap between enterprise-level planning and shop floor operations. It provides real-time visibility and control over production processes, ensuring seamless execution from raw material input to finished goods. The MES module tracks work orders, machine performance, labor productivity, and material consumption, helping manufacturers optimize efficiency and reduce waste. With features like quality management, downtime analysis, and compliance tracking, businesses can maintain high production standards and meet regulatory requirements.   • Labor Management – Keeps track and assigns personnel according to their qualifications, how they work, and what needs to be accomplished. In addition, all employee information is tracked regarding time, attendance, setup, etc.; this feature connects with resource allocation to ensure the best assignment.
  • Resource Allocation & Status – Helps keep track of employees, machinery, tools, and materials to recognize how they can be best utilized. This function also ensures that equipment is set up and operational.
  • Maintenance Management – Keeps equipment in top performance. A history of maintenance is kept to reference past problems, and regular service is tracked and scheduled to keep the equipment in good working condition.
  • Dispatching Production Unit – Directs how the workflow is handled to produce products, and its flexibility can accommodate issues that evolve on the plant floor. Dispatching makes sure the best person is assigned to the machine used. It manages customer records, so any notes on their requirements can be considered. Information on customers and their needs can be imported from external databases. Dispatching helps to keep costs down by streamlining operations.
  • Process Management – The assignment of work on the shop floor based on what needs to be accomplished. Processes are monitored and adjusted automatically, or information is provided to the operators so they can make changes as required. The process management function gathers information from shop floor machines to help determine assignments.
  • Document Control – Manages any document related to workflow. Examples are design documentation, regulatory information, or ISO corrective action requirements.
  • Quality Management – Keeps track of information related to product quality and notes any issues with suggestions on how to remedy the situation, determine the cause, and resolve the problem to prevent future issues.
  • Product Tracking & Genealogy – Monitors all aspects of a product so if there is a problem in the future, you have a history of the product and its components to take corrective measures. This tracking includes supplier(s), employees who worked on the development, equipment used and when it was used, lot numbers, serial numbers, any rework needed, etc.
